How to Use AI for Real Estate Follow-Up Emails (With Templates)

Smart Team2026-09-12

Most leads go cold not because they weren’t interested, but because the follow-up came too late or felt generic. AI helps close that gap by making it fast to send something that reads as personal, even when you’re managing dozens of leads. The templates below cover the most common follow-up scenarios — fill in the bracketed details before sending, and always read it once yourself first.

1. After a Showing (No Response Yet)

Prompt: “Write a follow-up email to a buyer who toured [property] [X days] ago and hasn’t responded. Reference [specific detail they liked during the tour]. Keep it under 100 words, warm, no pressure.”

Template output style: “Hi [Name], I wanted to check in after your visit to [property] — I know you mentioned loving [detail]. No pressure at all, just wanted to see if you had any questions come up since the showing. Happy to chat whenever works for you.”

2. The Price Reduction Announcement

Prompt: “Write an email to a past showing lead letting them know [property] just had a price reduction to [new price]. Frame it as an opportunity, not desperation.”

3. The Long-Term Nurture (Not Ready Yet)

Prompt: “Write a low-pressure check-in email for a lead who told us they’re not planning to buy for another [timeframe]. Keep it brief and add value — a market observation or tip, not just ‘checking in.'”

4. The Expired Listing Outreach

Prompt: “Write an email to a homeowner whose listing just expired unsold, offering a fresh market perspective without criticizing their previous agent.”

5. The Past Client Check-In

Prompt: “Write a friendly check-in email to a client we closed with [timeframe] ago, referencing their home purchase and asking if they know anyone looking to buy or sell.”

6. The Multiple-Offer Situation Update

Prompt: “Write an email to a buyer explaining that their offer on [property] is one of several, encouraging them to submit their highest and best without sounding pushy.”

A Note on Personalization

The templates above work best as a starting point, not a final send. Swap in real details from your actual conversations — the property they mentioned, the specific concern they raised — before sending. Fully generic follow-ups are easy for leads to spot, and they undo the “personal touch” you’re going for.
